Understanding SafeSite and Virtual Superintendent Permissions

Permissions control which pages and features a user can access.

Administrators create and manage users from the Users page in Virtual Superintendent. Only users with the correct permissions can access this page.

Note: When a permission is enabled, the toggle button beside the permission in the user interface changes to blue.

Virtual Superintendent Permissions

Virtual Superintendent permissions control access to project management tools, docket processing, reporting, and administration features.

Basic access permissions

This allows a base level access to the Virtual Super and is automatically toggled on.  It is for users who only need to view maps and reporting.


Permission Description
General user Provides basic access to Virtual Superintendent. Users can view maps and reports. This permission is enabled automatically.
Map user Allows the user to view the Maps page but prevents creating or deleting map features such as points, lines, and geofences.
Map editor Allows the user to create and delete map features on the Maps page.
Advanced reporting Allows the user to access the Advanced Reporting page and create custom project reports and dashboards.

Dockets permissions

These permissions control access to electronic docket workflows.

Permission Description
Dockets Supervisor Accept and reject dockets, cost code dockets, and review assigned dockets.
Dockets Engineer Process and approve dockets, decline dockets, and track costs using engineer dashboards.
Dockets Senior Project Engineer (SPE) Access My Dockets and All Dockets, edit accepted dockets assigned to other engineers, and approve or reject dockets across the project.
Dockets Super User Full docket control, including viewing all dockets, editing restricted fields, creating or deleting dockets, and managing docket configuration.

Bulk processing permissions

These permissions control access to actions that affect many dockets at once.

Permission Description
Dockets Supervisor Bulk Accept Allows supervisors to accept multiple dockets at the same time. Requires Dockets Supervisor permission. Exercise caution with this powerful permission.
Dockets Engineer Bulk Approve Allows engineers to approve multiple assigned dockets. Senior Project Engineer (SPE) users can approve dockets assigned to other engineers.
Dockets Bulk Edit Allows users to update or add data across multiple dockets at once.

Note: Users with the Dockets Super User permission have automatic access to bulk editing.

Docket amendment permissions

These permissions control rights to edit existing dockets.

Permission Description
Supervisor Amend Dockets Allows supervisors to suggest changes directly on a docket or timesheet.
Engineer and SPE Amend Dockets Allows engineers and SPE users to suggest changes to dockets or timesheets.

Note: The docket creator must accept or decline the suggested changes.

Docket administration permissions

These permissions control rights to manage dockets.

Permission Description
Dockets Admin Allows administrators to process and reconcile electronic dockets and export them to financial systems.
Admin Manager Provides broad administrative access without full super user privileges. Automatically enables Dockets Admin and User Admin permissions.

Admin managers can access:

  • Dockets Admin
  • Dockets Setup
  • Users
  • Suppliers
  • Plant
  • Messaging

System administration permissions

These permissions control rights to manage Virtual Superintendent and the SafeSite systems.

Permission Description
User Admin Allows the user to manage SafeSite and Virtual Superintendent users, generate registration QR codes, and manage suppliers, plant, and messaging.
Integration Admin Allows access to the Integrations page to overlay Web Map Tile Service (WMTS) files onto the project map, and to configure integration pipelines.
Order Admin Allows the user to create, edit, and view items on the Orderable Items page.

Project management permissions

These permissions control rights to manage projects.

Permission Description
Spoil Admin Allows the user to edit spoil reports, manage issue reports, and configure speeding settings.
Subcontractor Admin Allows subcontractor administrators to view and invoice dockets created by their subcontractors.
Subcontractor Order Admin Allows subcontractors to accept and reject any order. The user must also have Subcontractor Admin rights.

Spoil admins can edit the following fields in spoil reports:

  • Cost codes
  • Supplier
  • Material type
  • Load site
  • Disposal site

They can also bulk edit spoil reports using an Excel template.


SafeSite Mobile App Permissions

SafeSite permissions control which features a user can access in the mobile app.

Administrators manage SafeSite users from the Users page in Virtual Superintendent.

When a permission is ON, the toggle button is blue, as demonstrated below.

Docket and timesheet permissions

These permissions control rights to manage dockets and timesheets.

Permission Capabilities
Docket Contractor Allows subcontractors to create and submit dockets. Administrators can restrict item codes available to the user.
Timesheets Allows subcontractors to submit timesheets for completed work. Administrators can restrict item codes available to the user.
Dockets Supervisor Allows supervisors to accept, reject, and cost code assigned dockets. Supervisor Virtual Superintendent and SafeSite accounts are linked, allowing docket processing from either platform. Rejected dockets are returned to the docket creator for editing.
Dockets Leading Hand Allows users to review and cost code dockets but not perform final acceptance, which requires Dockets Supervisor rights.

Note: A SafeSite user can have either Docket Contractor or Timesheets permissions, not both.

Operational permissions

These permissions control rights to manage operational systems.

Permission Capabilities
Configure Beacons Allows the user to configure Bluetooth beacons used for project data collection.
Superuser Allows the user to onboard people and plant directly from the SafeSite app.
Site Diary Allows the user to record site diary events.

Map visibility permissions

These permissions control rights to view map layers.

Permission Capabilities
View Drone Imagery Allows the user to view drone imagery on the project map.
View Overlays Allows the user to view map line work overlays.
View Positions Allows the user to view the locations of other users on the map.

Map visibility default settings:

  • Enabled for head contractor staff
  • Disabled for subcontractors

Weighbridge dockets permissions

These permissions control rights to access and use the Weighbridge Dockets page.

Permission Capabilities
Weighbridge Dockets Allows the user to access the Weighbridge Dockets page, submit draft or rejected dockets, and withdraw submitted weighbridge dockets.

Note: Users with Weighbridge Dockets rights cannot edit docket details but can use this right to flag dockets for deletion.

Dockets on behalf

This permission allows a user to create dockets on behalf of other suppliers.

Caution: The Dockets on Behalf permission grants significant power. Use with care.

Users can create:

  • Plant dockets
  • Material dockets
  • Labor dockets

for any supplier in the project.

You can identify users with this permission by filtering the Permissions column on the Users page.

Note: This permission is hidden from the standard permission list. Only Virtual Superintendent staff can enable or disable it.
