Manage Virtual Superintendent User Permissions
Virtual Superintendent user permissions control what each user can see and do within the platform. By assigning the correct permissions, administrators can manage how users interact with key functionality such as dockets, maps, reporting, and system administration.
This page outlines the available permissions, explains how to update them, and highlights important considerations to keep in mind when granting users access rights.

Permissions
To access the Users page (Menu > Users) and manage Virtual Superintendent user permissions, you must have the following permissions:
- Admin Manager
Note: If you believe that you should have access to this page but you do not (for example, if your account was recently created and you are trying to create and manage user accounts for your organization), contact support@virtualsuper.com to request access.
Change Virtual Superintendent User Permissions
To change a Virtual Superintendent user's permissions:
- Sign in to Virtual Superintendent.
- Click Menu > Users. The Users page opens.
- Click Virtual Superintendent Users in the top menu bar. A grid view opens, showing all Virtual Superintendent users in your project and their permissions.
- Locate the user account you want to edit. Use the filter in the top left corner to filter by user name or email address.
- Click the Edit button (pen) beside the user. The User Permissions dialog opens.
- Enable or disable permissions using the toggles under the Permissions section. When a permission is enabled, its toggle button turns blue.
- Click Update to save the user's permissions and close the dialog.

Virtual Superintendent User Permissions
The following permissions are available for Virtual Superintendent users:
| Permission | Description |
| General User | Provides basic access to Virtual Superintendent. Users can view maps and reports. This permission is enabled automatically. |
| Dockets Supervisor | Accept and reject dockets, cost code dockets, and review assigned dockets. |
| Dockets Supervisor Bulk Accept | Allows supervisors to accept multiple dockets at the same time. Requires Dockets Supervisor permission. Exercise caution with this powerful permission. |
| Amend Dockets | Allows Dockets Supervisor users to suggest changes directly on a docket or timesheet. |
| Dockets Engineer | Process and approve dockets, decline dockets, and track costs using engineer dashboards. |
| Dockets Engineer Bulk Approve | Allows engineers to approve multiple assigned dockets. Senior Project Engineer (SPE) users can approve dockets assigned to other engineers. |
| Dockets Senior Project Engineer | Access My Dockets and All Dockets, edit accepted dockets assigned to other engineers, and approve or reject dockets across the project. |
| Amend Dockets | Allows Dockets Engineer and Senior Project Engineer users to suggest changes to dockets or timesheets. |
| Dockets Super User | Full docket control, including viewing all dockets, editing restricted fields, creating or deleting dockets, and managing docket configuration. |
| Dockets Bulk Edit | Allows users to update or add data across multiple dockets at once. |
| Dockets Admin | Allows administrators to process and reconcile electronic dockets and export them to financial systems. |
| User Admin | Allows the user to manage SafeSite and Virtual Superintendent users, generate registration QR codes, and manage suppliers, plant, and messaging. |
| Map User | Allows the user to view the Maps page but prevents creating or deleting map features such as points, lines, and geofences. |
| Map Editor | Allows the user to create and delete map features on the Maps page. |
| Advanced Reporting | Allows the user to access the Advanced Reporting page and create custom project reports and dashboards. |
| Admin Manager | Provides broad administrative access without full super user privileges. Automatically enables Dockets Admin and User Admin permissions. |
| Integration Admin | Allows access to the Integrations page to overlay Web Map Tile Service (WMTS) files onto the project map, and to configure integration pipelines. |
| Spoil Admin | Allows the user to edit spoil reports, manage issue reports, and configure speeding settings. |
| Order Admin | Allows the user to create, edit, and view items on the Orders page. |
| Subcontractor Admin | Allows subcontractor administrators to view and invoice dockets created by their subcontractors. |
| Subcontractor Order Admin | Allows subcontractors to accept and reject any order. The user must also have Subcontractor Admin rights. |
Permissions Notes
- Users with Admin Manager permissions can access the dockets Admin, Dockets Setup, Users, Suppliers, Plant and Messaging pages.
- Users with the Dockets Super User permissions have automatic access to bulk editing.
- Users with Spoil Admin permissions can edit the Cost Code, Supplier, Material Type, Load Site and Disposal Site fields in Spoil Reports. They can also bulk edit spoil reports using an Excel template.
- Dockets Supervisor and Engineer users with Amend Dockets permissions can suggest changes to dockets, but the docket creator must accept or decline these suggestions.
