Share Reports with Other Users

Use the sharing options available from the All Reports page (Menu > All Reports) to give other users access to reports in Virtual Superintendent, to schedule daily report emails, or to email reports to users immediately.

Note: Read the All Reports page help article for information about using this page, including understanding the informational icons used for reports.

Permissions

To create and share reports with other users from the All Reports page (Menu > All Reports), you must have the following permission:

  • Admin Manager

If a report has been shared with you or emailed to you, Admin Manager permissions are not required to view them.

These shared or emailed reports can be accessed from the Reports Shared With Me and Reports Emailed To Me folders on the All Reports page (Menu > Reports). You cannot share these reports with others.

Note: Reports cannot be shared with or emailed to Subcontractor Admin users.

Share a Report

Use Share with user(s) to give selected users access to a report without making the report public.

Users you share the report with can open it from their All Reports page and save it but cannot make changes to it or reshare it with others unless they have Admin Manager permissions. You can share a report with multiple users.

To share a report:

  1. Sign in to Virtual Superintendent.
  2. Click Menu > All Reports. The All Reports page opens.
  3. Locate a report you want to share in the right panel or in the left folders.
  4. Click the three-dot menu to the right of the report name. A contextual menu opens.
  5. Click Share with user(s). The Share Report dialog opens.
  6. Check the box beside each user you want to share the report with. As you add users, they are added to the top section of the dialog. You can also filter users by name by typing into the top Filter users field.
  7. Click Share. The report is shared with the selected users. If the report is yours (that is, it was created by you) and private, it is also added under the Reports Shared By Me menu. Private reports that have been shared have a green Shared icon beside the report name while public reports that are shared have a blue Shared icon.

Send a Report by Daily Email

If a report contains information that updates every day, use Daily Email to user(s) to automatically email it to a user or group of users daily. This ensures that the report is provided every day but does not require users to sign in.

Note: Whan a report is emailed, it is attached to the email in PNG image format. These emails also include a link to view the report in Virtual Superintendent where it can be downloaded in PDF format.

The email is sent daily and includes:

  • A link to the report in Virtual Superintendent.
  • A printable PNG image of the report as an attachment.

Recipients must have an existing Virtual Superintendent account to open the report using the link.

Tip: To share the PNG attachment with someone who does not have access to Virtual Superintendent, you can configure an automatic forwarding rule in your email application.

To schedule a daily report email:

  1. Click the three-dot menu to the right of the report name. A contextual menu opens.
  2. Click Daily Email to user(s). The Email Report dialog opens.
  3. Check the box beside each user you want to be emailed the report. As you add users, they are added to the top section of the dialog. You can also filter users by name by typing into the top Filter users field.
  4. Click Save. The report is emailed to the selected users once a day until they are removed by reopening the list and deselecting them. If the report is owned by you, it is also added under the Reports Emailed By Me menu.

Email a Report Immediately

Use Email now to user(s) to send a report to selected users if it contains information of interest or information that should be acted on immediately.

The email includes:

  • A link to the report in Virtual Superintendent.
  • A printable PNG image of the report as an attachment.

Recipients must have an existing Virtual Superintendent account to open the report using the link.

To email a report immediately:

  1. Click the three-dot menu to the right of the report name. A contextual menu opens.
  2. Click Email now to user(s). The Email Report Now dialog opens.
  3. Check the box beside each user you want to be emailed the report. As you add users, they are added to the top section of the dialog. You can also filter users by name by typing into the top Filter users field.
  4. Click Save. The report is emailed to the selected users immediately.
