Link a QR Code to a SafeSite User

Virtual Superintendent generates QR codes when you register a new SafeSite user or re-register an existing user.

You can also link an external QR code to a SafeSite account. For example, a subcontractor might already have a QR code on a site card issued through another management system.

After linking the QR code, the user can scan it to load their SafeSite account on a device or sign in at a SafeSite Docket Station.

Administrators can link a QR code to a user's account in Virtual Superintendent, or a SafeSite user can link a QR code to their own account.

Permissions

To access the Users page (Menu > Users) and link external QR codes to SafeSite users, you must have one of the following permissions:

  • Admin Manager
  • User Admin

If you are SafeSite user and you want to link an external QR code to your own SafeSite account, no additional permissions are required.

An administrator can create a SafeSite account for a new user and link an external QR code to the account. This is useful when a subcontractor already has a QR code from another management system, such as a QR code on a site card.

The user doesn't need to complete the standard SafeSite registration process. After downloading SafeSite, they can scan their linked QR code when prompted to load their account and sign in.

Before you begin you will need the text to be encoded in the user's QR code. For example, this might be their name, email address, or employee number. The QR code must be at least 8 characters.

To create a SafeSite account and link a QR code:

  1. Sign in to Virtual Superintendent.
  2. Click Menu > Users. The Users page opens.
  3. Click SafeSite App Users in the top menu bar. A grid view opens, showing all SafeSite users in your project and their permissions.

  4. Click Add User. The Add User dialog opens.

  5. Type the new user's details into the Add User dialog. See the Register a New SafeSite User help article for more information about these fields.

  6. Type the text to be encoded as a QR code into the QR Code field. Make sure the text entered exactly matches the text as it appears on their site card or in the source system. The QR code must be at least 8 characters.
  7. Click Save. The user can now scan the linked QR code to load their SafeSite account on a shared device or sign in at a SafeSite Docket Station.

An administrator can also link an external QR code to an existing SafeSite user.

Note: You can use this method to link several different QR codes to the same user.

To link a QR code:

  1. Sign in to Virtual Superintendent.
  2. Click Menu > Users. The Users page opens.
  3. Click SafeSite App Users in the top menu bar. A grid view opens, showing all SafeSite users in your project and their permissions.

  4. Locate and select the user account you want to edit. Use the Name filter in the top left corner to filter by username or the Email field to filter by email address. The User Permissions dialog opens.

  5. Click Link Site Card / QR Code. The Additional QR Codes dialog box opens.

  6. Type the text to be encoded as a QR code into the QR Code field. Make sure the text entered exactly matches the text as it appears on their site card or in the source system. For example, this might be their name, email address, or employee number. The QR code must be at least 8 characters.
  7. Click Add.
  8. Click Close then Save. The user can now scan the linked QR code to sign in to a SafeSite Docket Station or load their SafeSite account on another device. If needed, you can repeat this process to add more QR codes to the user.

SafeSite users can link an external QR code to their own account from the Settings page.

Have the QR code ready to scan before starting. For example, you might scan the QR code on your site card. The QR code must contain at least 8 characters.

Note: The external QR code is different from the project-specific QR code you scan during registration. The project-specific QR code gives you access to the correct SafeSite project. Your external QR code is linked to your SafeSite account and can be used for future sign-ins.

To link a QR code:

  1. Open the SafeSite app and sign in.
  2. Tap Menu > Settings. The Settings screen opens.
  3. Expand QR Codes for Sign In.
  4. Tap Add QR Code.
  5. Scan your external QR code, such as the QR code on your site card. The QR code is now linked to your SafeSite account. You can scan it to sign in at a SafeSite Docket Station or quickly load your SafeSite account on another device.

Note: SafeSite links the scanned QR code to your account. Personal information encoded in the QR code isn't stored separately in the Virtual Superintendent environment.
