Supervisor Assigns a Cost Code with Owners to a Docket

A cost code can have multiple owners, however one must be set as the default owner. The default owner will auto-select over all other owners. Cost codes with owner(s) are also referred to as locked cost codes.

Cost code owners, or locked cost codes, are set in the Virtual Super by a dockets super user or an admin manager. See our support article Create a New Cost Code for user instructions.

When a supervisor is assigning a cost code to a docket, a padlock icon indicates that a cost code has owner(s). A cost code can have multiple owners, however one must be set as the default owner.

When a cost code with owner(s), also known as a locked cost code, is selected by a supervisor, the default owner will auto-fill in the engineer field, based on this selection.

If the default owner is away, the supervisor can select one of the other available owners and assign the docket to them. A supervisor will not be able to assign the docket to an engineer who is not set as an owner for the selected cost code.

Supervisor Selects a Cost Code with Owner(s) in SafeSite

When reviewing the dockets assigned to them in the SafeSite app, a supervisor needs to go to their approve dockets page. From here, they can review, cost code and accept dockets.

When cost coding a docket in SafeSite, if a supervisor selects a cost code with an owner the default engineer will auto-fill in the engineer field, as shown below.

If the selected cost code does not have owners, the supervisor will need to manually set the engineer.

If the supervisor assigns an engineer before setting the cost code, a restricted list of cost codes will display based on this selection.

Supervisor Edits the Assigned Engineer

If the default owner is away and the docket needs to be assigned to a different owner, a supervisor can tap on the engineer field and select another owner from the list. Only engineers set as owners for the selected cost code will display in the select engineer list.

Supervisor Cost Codes a docket in the Virtual Super

When reviewing the dockets assigned to them in the Virtual Super, the supervisor needs to go to their dockets supervisor page.

When a supervisor opens a docket, they will select the relevant cost code and engineer in the docket approval chain & cost codes section of the docket.

If they select a cost code with owner(s), the default owner will auto-fill in the engineer field in the docket based on this selection.

If the default owner is away and the engineer field needs to be edited, the supervisor will click on the engineer field then select a different owner from the list before accepting the docket, as shown below.

Edit a Docket with a Locked Cost Code

Occasionally, a locked cost code is selected but the right engineer is not available for selection because they have not been set as an owner. A supervisor cannot select an engineer who is not in the select engineer list. It is also possible for a supervisor to assign a locked cost code to the wrong engineer.

When either of these situations occur, the engineer assigned to the docket is able to reassign the docket to another engineer or edit the cost code.

In the docket approval chain & cost codes portion of the docket, the engineer will press the reset cost codes button, found below the engineer field.

Doing so will empty the cost code field. The engineer can select a new cost code from the list.

They can also reassign the docket to another engineer. A padlock icon in the Select Engineer list indicates an owner of a locked cost code.

Alternatively, the project dockets super user is able to edit either the engineer or cost code fields in a docket, regardless of cost code ownership.
