Onboard Plant Equipment with a QR Code
You can assign a QR code to a machine to make it faster and easier for SafeSite users to onboard new equipment in the field.

Permissions
To access the Plant page (Menu > Plant) and view plant IDs, and to access the Users page (Menu > Users) and change SafeSite user permissions, you must have one of the following Virtual Superintendent permissions:
- Admin Manager
- User Admin
To onboard new plant using the SafeSite app, you must have the following SafeSite permission:
- Superuser
Create a QR Code
Before you can onboard a machine using a QR code, you must create a QR code for the machine. Virtual Superintendent doesn't allow you to create a machine ID QR code, so you will need to use an external tool.
- Open an online QR code generator, such as www.qr-code-generator.com.
- Select the TEXT option.
- Enter the Plant ID of the equipment being onboarded. You can find this by opening the Plant page (Menu > Plant) and then locating the plant equipment. The Plant ID is shown under the Plant ID column in the grid. Alternatively, you can click an item in the Plant page grid to open the Plant Details dialog and then find the ID near the top of the Configuration tab, under Plant ID / Rego No.

Generate the QR code and download it as an image file (or take a photo of it with your phone).
- Print the QR code on a sticker or paper.
- Attach or display the QR code on the machine where operators can easily scan it.
Grant Superuser Permission
Only SafeSite users with Superuser permissions can onboard plant equipment.
Note: Typically, a supervisor onboards new machines when they arrive on site. Alternatively, administrative staff can onboard machines when creating and printing QR codes.
To grant Superuser permissions:
- Sign in to Virtual Superintendent.
- Click Menu > Users. The Users page opens.

Click the SafeSite App Users tab in the top menu bar. A grid view opens, displaying all SafeSite users in your project and their permissions.
- Locate the user account you want to edit. Use the Name filter in the top left corner to filter by username or the Email field to filter by email address.

Select the required SafeSite user account. The User Permissions dialog opens.
- Enable the Superuser permission toggle. When a permission is enabled, its toggle button turns blue.
- Click Save to update the user's permissions and close the dialog.
Onboard a Machine with SafeSite
After creating the QR code, link it to the machine record in SafeSite.
To onboard a machine using a QR code:
- Open the SafeSite app and sign in.

Tap Menu > On-board. The On-board screen opens.

Tap PLANT.

Tap the camera button and take a photo of the machine. This is required.
- Enter the machine details (these fields are described below), making sure that the Plant ID you type into the Plant ID / Rego No field matches the Plant ID used in the QR code. The Asset Type, Model and Plant ID / Rego No fields are required.

Select Asset QR Tag in the lower Tracking Method(s) section and then tap Scan QR and scan the QR code.
- Tap On-board Asset. The machine is now onboarded.
Machine details
The On-board Asset screen includes the following fields:

| Speed Limit (km/h) | Speed limit for the machine in km/h | Number; integer (no decimals); vehicle speeds above this value trigger speeding events in your reports and dashboards; typically used for on-site speeding events where there are no public roads |
| Current SMU | The current number of hours indicated on the machine's SMU (Service Meter Unit) | Number; integer (no decimals); SMU units track engine operating hours |
| Payload Unit | UOM for the approximate payload | Unit of measure; select kg or m3 from the dropdown |
| Approximate Payload | The approximate payload for the machine when an exact weight is unavailable using either a weighbridge or Virtual Weighbridge input | Number; integer (no decimals) |
