Wages Staff Create Electronic Dockets

This article explains how wages staff can create daily electronic dockets using the SafeSite mobile app.

Wages staff are now required to create an electronic docket using the SafeSite mobile app.  Once you have installed and registered the SafeSite app on your mobile device, you are ready to start creating electronic dockets.

There are two main steps to complete each day:

Sign-on to SafeSite

Create an electronic docket

Sign-on to SafeSite:

Step one -
Open the SafeSite app on your mobile device

Step two -
Select your Name

Step three -
Answer the Fit for work questions

Step four -
Press Next

You are now signed-on and will be asked to create a Docket.


Create an Electronic Docket:

Once you are signed-on you will be asked to create your docket.

Step one -
From the Item page, select the type of wages which best describes your work on the chosen day
Press Next

Step two -
Confirm the date
If the date is incorrect tap on it and edit it using the time picker
Press Next

Step three -
Select your Foreman/Supervisor
Press Next

The docket is now created in a Draft format.  There are some red fields that need to be completed before you can Submit it to your Foreman/Supervisor.

Step four -
Select your Location

Step five -
Add Docket Remarks giving a brief description of your work

Step six -
Check your Start time is correct
Enter your Finish time by tapping on it and selecting the time on the time picker

Step seven -
Add any Item Remarks

Step eight -
Check/edit the break times
Deselect any by tapping on the selection box

Step nine -
If you are not Submitting your docket at this time, press Save.

This draft docket can be viewed/edited from your My Dockets page.  It will have a Draft status.
The following explains the 6 different statuses of your docket:

Draft  - Dockets created by a wages staff member but not yet Submitted.
Submitted  - Dockets ready to be processed by a Foreman/Supervisor.
Accepted  - Processed and Accepted by a Foreman/Supervisor and awaiting Engineer Approval.
Approved  - Engineer has approved the docket.  It is ready to be sent to the financial system for invoicing.
Rejected  - The Forman/Foreman has Rejected a docket and it has been sent back to the staff member for fixing.

Step ten -
To send this docket to your Foreman/Supervisor, press Submit
Note: It is best to Submit your docket at the end of each day so that you can add any incidentals that may occur during the day (e.g allowances, annual leave).  If you try to sign-out of SafeSite with a Draft docket in your list, you will be asked to confirm that you wish to sign-off.  This acts as a reminder to Submit your docket at the end of the day. 


Adding an Item to your Docket:

In some instances, you may need to add more to your docket (e.g. if you take a 1/2 day of annual leave).  In this example, you will need to add the Chargeable Item - Annual Leave to your docket.
To add a chargeable item to your docket, follow these steps:

Open the docket if it is not already open.

Step one -
Press the Add Chargeable Item button from the Docket Actions section of your docket

Step two -
From the Item page, select the chargeable item (e.g Annual Leave) that you wish to add to your docket
Press Next

Your docket will now look like this: 

Step three -
The red ! indicates a field that needs to be completed
Press the down arrow (far right of that chargeable item) to expand this item
Change the start and/or finish time, as required

Step four -
Add any Item Remarks (e.g. 1/2 day annual leave)

Step five -
You may need to untick some of the breaks.  Do this by tapping on the tick box beside the break you wish to deselect.

Step six -
Check the details are correct and press Save
This docket will be saved to your My Dockets page and will have the status of Draft

Step seven -
To send this docket to your Foreman/Supervisor, press Submit
