How to link an Independent QR Code to a SafeSite account

The Virtual Super system generates QR codes to register new SafeSite users or re-register existing SafeSite users.

Independent QR codes can be linked to new or existing SafeSite accounts where the user has a QR code from a management system, such as on a site card. Once linked, the user can scan the independent QR code to load their SafeSite account onto a device and sign-on.

An independent QR code can be linked to a SafeSite account by the SafeSite user or by an admin in the office.

This article is divided into the following sections:

  • Admin creates a new SafeSite account in and links an independent QR code
  • Admin links an independent QR code to an existing SafeSite account
  • User links an independent QR code to their own SafeSite account

Admin creates a SafeSite account and links an independent QR code

For subcontractors who use a management system with an independent QR Code, such as on a site card, this can be linked to their SafeSite account so that they do not have to complete the SafeSite registration process.

For convenience, an admin in the site office can create the SafeSite account on their behalf and link to a text representation of the the user's independent QR code.

In this situation, the user is not required to complete the SafeSite registration process, instead they will download the SafeSite app and, when prompted, scan their site card to load their account and sign-on.

The admin will need:

  • The User Admin permission.

    Speak to the person in charge of the Virtual Super for your project to have this permission enabled.

  • The text associated with the user's independent QR code, e.g. their name, email address or employment number.

Admin Creates new SafeSite account and links an independent QR code:

  • Go to the Users page of the Virtual Super
  • Press the Add User button
  • In the Add User dialog, enter the details of the new user
  • In the QR Code field, enter the text associated with the user's independent QR code, e.g. their name, email address or employment number, as it appears on their site card
  • Press Save

Where there is a SafeSite Docket Station or shared devices being used on site, the user can also scan their linked independent QR code to load their SafeSite account and sign-on.

Admin links an independent QR code to an existing SafeSite account

Admins can link independent QR codes to an existing SafeSite user account.

  • Go to the Users page
  • Filter to find the user
  • Click to open their User Permissions dialog
  • Tap the text Link Site card / QR code
  • In the Additional QR Codes dialog, enter the text associated with the user's independent QR code, e.g. their name, email address or employment number.
  • Press Add to close the Additional QR codes dialog
  • Press Save in the User Permissions dialog

The subcontractor can now scan their independent QR code to sign-on to a SafeSite Docket Station or transfer their SafeSite account between devices.

User links an independent QR code to their own SafeSite account

When a user is linking an independent QR code to their own SafeSite account, there are two methods for doing so:

  • During SafeSite registration - for new users
  • From the SafeSite Settings page - for existing users

New user links an independent QR code during SafeSite registration:

When registering with the SafeSite app for the first time, the new user has the option to link an independent QR code to their account as part of the registration process. They will need to have their independent QR code ready for scanning when they register. It is most likely that they will scan the QR code from their site card.

NOTE: It is important not to confuse the independent QR code with the project specific QR code that a user is required to scan (once) during the registration process in order to record data for a project.

  • Download the SafeSite app
  • Scan the project specific QR code (once) to gain access to the correct project (this could be in the site office or from their foreman's screen)
  • Complete the Details page of the SafeSite registration
  • Press the Add QR Code button

  • Scan the independent QR Code, e.g. the QR code on a site card

NOTE: Any personal details will not be stored in the Virtual Super environment, the QR code is only linked to their SafeSite account.

Existing user links an independent QR code from the SafeSite Settings page

If a person is an existing SafeSite user, they can link a personal QR code to their account from the SafeSite Settings page.

  • Go to the SafeSite Menu
  • Select the Settings page
  • Expand the QR Codes for sign in field
  • Press the Add QR Code button
  • Scan the personal QR code, e.g. the QR code on their site card. The QR code will now be linked to the existing SafeSite account and can be scanned to sign-on to a SafeSite Docket Station or to quickly load the SafeSite account from one device to another.
