Create and View a Spoil Report

Spoil reports show the component parts for all spoil movements within a specified time period. Head contractors can analyse the component parts of each spoil movement to ensure that their spoil operation is running as intended. They can view the weighbridge dockets generated for each spoil movement and apply the cost data.

From the Reports Page, a Virtual Superintendent user can create and/or view the following reports:

  • Issues - View the issues triggered today (or historical issues) in order to track and resolve them in the Virtual Super
  • Load Counts - View trips between load and dump locations
  • Site Events - View site events for a time period
  • Spoil - View spoil movements for a time period

This article will explain what a spoil report is and how to create one.

All Virtual Superintendent users have access to the Reports Page where they can view the reports created by them, shared with them and all of the public reports for their project.

Spoil reports provide a breakdown of the load and disposal details of spoil movements, over a specified time period. Spoil reports can be filtered to better understand the volumes and cost on a per location or per supplier basis.

Create a New Spoil Report

  • From the Virtual Super Menu - select the Reports page
  • Press Create New Report (top left of the screen)
  • Select the Spoil option

By default, a new spoil report will display the spoil movements from the last 30 days. To alter the time range, press the clock icon then select from the Relative or Absolute options.

If selecting an Absolute time range, you will need to press Apply Time Range to confirm your selection.

When analysing the spoil report, the user can use the side filters to find the appropriate data. For example, they could apply filters to view all spoil movements for a specific truck between load site A and disposal site B.

Depending on a user's permissions, they will be able to view only or edit spoil reports. In order to edit a spoil report, the user needs the Spoil Admin permission.

The Spoil Admin permission allows a user to do the following:

  • Edit the Material type
  • Edit the Supplier
  • Edit the Load Site
  • Edit the Disposal Site
  • Manually add Load or Disposal entries
  • Manually Merge rows in the report into one spoil movement
  • Unmerge entries to remove them from a movement
  • Bulk edit via an Excel template

Understanding a Spoil Report

A spoil movement is defined as the combination of load and disposal information for a single load-to-disposal cycle. Spoil reports provide head contractors with a summary of the component parts of each spoil movement and link to the weighbridge docket that is generated for each movement.

Rows in the spoil report can be highlighted in order to view the load and disposal summaries.

In some cases, a spoil movement will have a single load entry and a single disposal entry. However, in many cases, a spoil movement will have data inputs from multiple sources, including weighbridges, Virtual Weighbridge (VWB) dockets, API's, and gatekeepers.

The Virtual Super supports the following inputs for Load information:

  • Fixed weighbridges (integrations)
  • Virtual Weighbridge (VWB) dockets
  • Driver initiated dockets
  • Gatekeeper recorded dockets
  • Manually recorded load details (which are recorded later by the Spoil Admin)

The Virtual Super supports the following inputs for the Disposal information:

  • Driver initiated dockets
  • Fixed weighbridges (integrations)
  • Manually recorded disposal details (which are added later by the Spoil Admin)

Viewing a Spoil Report

The user can click on a row in the spoil report to analyse the component parts for that spoil movement.

When a user clicks on a spoil movement, the details will open in a new page, displaying the following content:

  1. All spoil movements for that truck on the selected day

    Where the truck has completed multiple spoil movements, these will show at the top of the screen. The user can highlight any of these to understand the truck's movements that day.

  2. The load and disposal information for the highlighted spoil movement

    In some instances, there are multiple load and disposal entries for one spoil movement. These will all display in the load and disposal details at the bottom of the page.

Where multiple load and disposal entries occur for a single spoil movement, the Virtual Super applies specific rules to determine which data takes priority and is displayed in the spoil report. The winning data is indicated with a green tick.

Typically, the following Load inputs take priority:

  • Load Site
  • Material type
  • Load time
  • Where there are double ups of load information, typically the most recent occurrence will take priority.

Typically the following Disposal inputs take priority:

  • Disposal Time
  • Weight
  • Disposal Site
  • Where there are double ups of disposal information, typically the most recent occurrence will take priority.

NOTE: These rules are able to be configured to suit the needs of a project, however this must be done by the Cloudscape team.

View Weighbridge Dockets

For each spoil movement, a weighbridge docket is generated which contains all of the relevant load and disposal data. The weighbridge docket is automatically assigned to a default foreman, who is set by Cloudscape in correspondence with the project management team.

Where spoil movements allow head contractors to ensure that the component parts of the cycle are correct, the associated weighbridge docket allows the right cost code(s) and engineer to be assigned, in order to manage the financial aspects of the project.


Each row in the spoil report contains a link to the generated weighbridge docket. The user can click on the link to open the weighbridge docket, which can then be assigned to an engineer, cost coded, and any attachments viewed.

NOTE: It is not efficient to open and process every weighbridge docket this way. The weighbridge docket linked in the spoil report can also be found in the various Dockets pages of the Virtual Super. It is far more efficient to review and Accept/Approve dockets from the Dockets pages, where dockets can be processed in bulk.

Export data from a Spoil Report

It is possible to download the following export files from within a spoil report:

  • Excel template
  • PDF files

An Excel file can be downloaded directly from a spoil report containing the data that is displayed on the screen. The Excel export file can be analysed for financial purposes. Alternatively, a user with the Spoil Admin permission can edit some fields in the Excel template, save it, then upload it to bulk edit the spoil report.

Create an Excel Export File:

  • Filter to display the relevant data in the spoil report, e.g. filter by Supplier and/or docket State.
  • Press the blue Download icon (top left of the screen)
  • An Excel export file will be found in the downloads area.

PDF files containing all of the spoil movements displayed on the screen can be downloaded from within a spoil report. The PDF files can be used to provide evidence that the earthworks project is complying with all of the necessary rules and regulations.

NOTE: One movement equals one PDF file, therefore the Virtual Super will download a zip file containing all of the PDF files.

The number of columns in the report dictates what is documented in the PDF file.

Create a PDF Export File:

  • Filter to show the relevant columns
  • Press the PDF icon
  • The PDF zip file will be found in the downloads area of the computer

Share Reports

Reports can be saved as Public, allowing all other head contractor Virtual Superintendent users on the project to have access to it from the Reports page.


Alternatively, a private report can be shared with specific staff.
