Enable Position Tracking in Your Project

Head contractors can configure position tracking in Virtual Superintendent to monitor the location of workers and plant for Chain of Responsibility (CoR) compliance and site visibility.

Position data is collected either from the SafeSite mobile app while users are signed on, or from GPS tracking devices installed on plant and equipment. Administrators can control whether location tracking applies to all SafeSite users in a project, restrict tracking to specific areas such as project boundaries, and override default tracking settings through sign-on profiles.

You can also configure how frequently GPS positions are reported. Different reporting intervals can be used for different user and plant types, allowing faster-moving vehicles to report locations more frequently than workers on foot.

Permissions

To access the Dockets Setup page (Menu > Dockets Setup) and manage Item codes and sign-on profiles, you must have one of the following permissions:

Dockets Super User
User Admin
Admin Manager

How Position Tracking Works

SafeSite and Virtual Superintendent use three levels of configuration to determine how position tracking operates within a project:

Project-wide tracking sets the default position tracking behavior for all SafeSite users in a project.
Item code and item code group tracking uses sign-on profiles to override the project-wide setting for specific work activities.
Project boundary tracking restricts position tracking to a defined geographic area and an optional buffer zone surrounding that area.

These settings work together to give head contractors control over who is tracked, when tracking occurs, and where positions are recorded.

Configure Project-wide Position Tracking

The Enforce Position Frequency setting controls whether SafeSite position tracking is enabled by default in a project. This setting is Off by default. Contact support@virtualsuper.com to enable it.

Setting	Behavior
On	SafeSite users are tracked by default while signed on. Users registering SafeSite for the project are prompted to enable location tracking.
Off	SafeSite users aren't tracked by default while signed on. Users aren't prompted to enable location tracking during registration.

You can override the project-wide setting for individual item codes or item code groups using sign-on profiles.

Configure Tracking for Item Codes

Head contractors can use sign-on profiles to control position tracking for specific item codes or item code groups.

For example, if project-wide position tracking is disabled but haulage trucks require tracking, you can create a custom sign-on profile that enables tracking and assign it to the relevant haulage item code.

To configure position tracking, create or edit a sign-on profile in Virtual Superintendent.

Sign in to Virtual Superintendent.
Click Menu > Dockets Setup. The Dockets Setup page opens.
Click the Sign-on Profiles tab.
Click Add Sign-on Profile. The Add Sign-on Profile dialog opens.
Type a suitable sign-on profile name into the Name field. For example, "Position Tracking".
Select the profile Type.
Open the Enforce Position Frequency dropdown and select the required level. Available levels are Default, High, Normal, and Off.
Click Save. The new sign-on profile is saved.

Then assign the sign-on profile to the relevant item code or item code group:

Click the Item Codes tab.
Select an item code from the list. The Edit Item Code dialog opens.
Open the Sign-on Profile dropdown and select the position tracking sign-on profile.
Click Save. The item code is updated to use the sign-on profile's tracking frequency.

Position frequencies

Position frequencies control how often GPS locations are reported to Virtual Superintendent. Higher frequencies provide more detailed location histories but may increase battery and data usage.

Setting	Description
Default	Uses the project-wide position tracking frequency configured for the project.
High	Reports positions more frequently and is typically used for fast-moving plant, heavy machinery, and on-road trucks where detailed movement tracking is required. A new position is reported each time movement of approximately 5 meters is detected. Position reporting continues while movement is occurring and after movement stops, typically at intervals of around 5 seconds. When High tracking is enabled, the SafeSite device requires Always location permission and users are prompted to exclude the app from battery optimization.
Normal	Reports positions at a standard interval. Typically used for workers and general plant operating at lower speeds. A new position is reported every time movement of 25 meters is detected and pauses 1 minute after movement stops.
Off	Disables position tracking for the user or activity. No GPS positions are reported.

Use High where more frequent position updates are required. See Sign-on Profiles Explained for more information.

Restrict Tracking to Project Boundary

The Project Boundary setting limits position tracking to a defined geographic area. The boundary consists of a geofence drawn around the project perimeter and an additional 1 km buffer zone surrounding the geofence.

When enabled, Virtual Superintendent records positions from SafeSite users and GPS-equipped plant only while they are within the project boundary or buffer zone. Positions outside this area are not tracked.

The Project Boundary setting is Off by default and is available only when Enforce Position Frequency is enabled for the project.

Use project boundary tracking when you need to collect position data only for workers and plant operating on or near the project site. This can help reduce the collection of location data outside the work area while still supporting Chain of Responsibility (CoR) and site management requirements.
