Subcontractor Admin Registers a New SafeSite user (detailed)

This article provides a detailed explanation of how a subcontractor admin can assist their staff to register the Virtual Superintendent SafeSite mobile app.

The Virtual Superintendent SafeSite mobile app is an important way to capture data for use in the Virtual Superintendent. The SafeSite app can be used to capture plant dockets, labour dockets, material dockets, truck driver or loader operator generated weighbridge dockets, Chain of Responsibility compliance data, and more.

A subcontractor admin, with the User Admin permission, is able to assist their staff with the SafeSite registration process. The User Admin permission is set by the head contractor administrator in charge of the Virtual Superintendent for your project.


There 3 methods for assisting your staff to register the SafeSite mobile app:

  1. Create new SafeSite user accounts in the Virtual Superintendent, then send a Registration Code to each user via text message or email. Users are not required to enter personal details to register SafeSite.
  2. Send a generic Supplier Registration code to each user via text or email. Users are required to enter personal details to register SafeSite.
  3. Display a Supplier Registration QR Code in the office. Users will need to pre-install SafeSite and scan the QR code before entering their personal details to register SafeSite.

METHOD 1: Create SafeSite accounts in the Virtual Super

A subcontractor admin, with the User Admin permission, will create SafeSite accounts for their staff in the Users Page of the Virtual Super. They can then send a registration code to the each new user via text message or email which allows them to register SafeSite.


Follow these steps:

  • Got to the Virtual Superintendent Users page. You will see a list containing all of the current SafeSite users for your company.
  • Press the orange Add User button to add a new SafeSite user account.
  • In the Add User dialog, enter the user's details, including their email address and cell phone number.
  • Press Save - this will save the details and close the Add User dialog.

  • From the users list, click to view the user's details in a User Permissions dialog.
  • In the User Permissions dialog, press the User Registration Code button.

  • Either click Send code to user as SMS or Send code to user as email.

  • Enter user phone numbers or email addresses

    NOTE: It is possible to paste multiple phone numbers or email addresses from another file if they are separated by a space or comma.

  • Press Send Messages or Send Emails to send a SafeSite registration code to the user. They will receive a text or email invitation to create a install and register the SafeSite app.

    IMPORTANT: The registration code is valid for 7 days and can only be used once to register SafeSite.

METHOD 2: Send Generic Supplier Registration Code

A subcontractor admin, with the User Admin permission, can also access the Register Users page of the Virtual Super, where they can generate a Supplier Registration Code.

The Supplier Registration Code can be sent via text or email to staff. When the staff member uses this registration code, they will be prompted to enter their personal details to register the SafeSite app.

Follow these steps:

  • Go to the Virtual Superintendent Register Users page
  • Either press Send as SMS or Send as Email
  • Enter phone number(s) or email address(es)

    NOTE: Multiple numbers or email addresses can be pasted from another file if separated by a comma or space

  • Press Send Messages or Send Emails to send text or email invitations to install and register the SafeSite app.

Method 3: Display Supplier Registration QR Code

Displaying the generic Supplier QR Code in the office means that new users can scan it to register the SafeSite mobile app. This is a good option where you might want to interact with your staff members as they register the SafeSite app.


To print the Supplier Registration QR Code from the Register Users page, you will need to take a screenshot then print it.

NOTE: To scan the QR code, the user will need to pre-install SafeSite on their phone. They will be prompted to scan the QR code as part of the SafeSite registration process. They will also be required to enter their personal details to register the app.
