Subcontractor Admins: Register New SafeSite Users

The Virtual Superintendent SafeSite mobile app is an important way to capture data for use in the Virtual Superintendent. The SafeSite app can be used to capture plant dockets, labour dockets, material dockets, truck driver or loader operator generated weighbridge dockets, Chain of Responsibility compliance data, and more.

The SafeSite mobile app must be registered to capture relevant data for specific projects and is linked to subcontractor suppliers or to the head contractor. The registration process can be controlled either by the head contractor or subcontractor administrators.


This article provides an overview of the SafeSite registration process from a subcontractor admin perspective. If you would prefer a more detailed version of this workflow, see this article.


A subcontractor admin can manage the SafeSite registration process from within their version of the Virtual Superintendent.

NOTE: They will need the User Admin permission enabled for their Virtual Superintendent account to do this. This permission is granted by the head contractors.


There are 2 main methods a subcontractor admin can use to register their staff with the SafeSite mobile app:

  1. Add staff registration details in the Virtual Super then send registration details to each user
  2. Send a generic supplier based invite and get their staff to enter their own details

1) Add staff registration details in the Virtual Super – making life easy for the users of the SafeSite app

Creating SafeSite accounts on behalf of your staff means that they are not required to enter their personal details when registering the SafeSite mobile app on their phones, making the process easier for them.


Follow these steps to create SafeSite user accounts for your staff, then email or text them their SafeSite registration code.

Adding staff registration details in the Virtual Super


The new user will open the email or text and click on the link within this to install the SafeSite app. When prompted they can use the code contained in the email or text to register the SafeSite app. They will not need to enter their details, as this has been done for them.


2) Send a generic supplier registration code to the users and get the users to enter their own details – making life easy for the subcontractor administrators

Instead of entering the details for each SafeSite user account, you can send a generic supplier based registration email or text message to your staff's email addresses or phones. This makes it easy for subcontractor administrators to register large numbers of SafeSite users within their companies.

When a subcontractor uses this registration code, they will be prompted to enter their personal details to register the SafeSite app.

NOTE: You can copy and paste numbers from another file. When entering them into the Virtual Super, separate them with a comma or space.


3) Print Generic Supplier QR Code and display in office

Displaying the generic Supplier QR Code in the office means that new users can scan it to register the SafeSite mobile app. This is a good option where you might want to interact with your staff as they register the SafeSite app.

To print the generic Supplier QR Code from the Register Users page, you will need to take a screenshot then print it.

NOTE: Using this method requires users to have pre-installed the SafeSite app and requires them to enter their personal details to register as a SafeSite user. Once they have installed the app, they will to prompted to scan the QR code before entering their personal details to register as a SafeSite user.
