Supervisor Checklist Workflow

This article will outline how a supervisor is notified of a failed fit for work or machine checklist, the steps they need to take to complete the checklist workflow, and how others can be set up to receive the failure notifications.

SUBCONTRACTOR COMPLETES FIT FOR WORK CHECKLIST

When a subcontractor signs-on to the SafeSite mobile app each day they must answer Fit for Work questions.

If they answer Yes to all of the questions, they are deemed fit to work on site.

If they answer No to any of the questions, they will be deemed unfit to work.  In this situation, their supervisor and subcontractor admins will automatically be notified.

SUBCONTRACTOR SIGNS ON AS A PLANT OPERATOR 

As part of the signing-on process, subcontractors select their role for the day.  If they sign-on as a plant operator, they are typically required to complete a machine checklist.  The purpose of this is to establish that the plant item is safe to be working on site.

The subcontractor answers a series of Yes / No questions about their machine.  Any errors are recorded, photos are uploaded and comments made.

If the subcontractor answers Yes to all questions, the plant item is deemed fit to be working on site.

If they answer No to any of the questions the checklist is failed and their supervisor is notified.

The supervisor must then review the failed machine checklist to decide if the plant item is safe to be used on site or if it needs to be repaired.

NOTIFICATIONS FOR FAILED FIT FOR WORK AND MACHINE CHECKLISTS

By default, a supervisor and the relevant subcontractor admins will automatically be notified of any fit for work or machine checklist failures.

The supervisor and the subcontractor administrator will both receive two notifications - a push notification via the SafeSite app and an email.

It is possible for a head contractor administrator with the User Admin permission to set other people to receive any checklist notifications.

Read the Head Contractor Creates an Event Notification article for user instructions.  Please read this thoroughly as it is important to set any external people carefully so that you do not share information with the wrong people.

SUPERVISOR ACTIONS FOR A FAILED MACHINE CHECKLIST

Notification of a failed machine checklist must be followed up by a supervisor to see if any immediate action needs to be taken.

They will receive two notifications with each failed machine checklist - a push notification to their SafeSite app and an email.

There are two ways that a supervisor can view any failed checklist in SafeSIte.

  • From the Approve Dockets page
  • From the Today's Checklists page

The graphic below demonstrates the supervisor workflow for a failed machine checklist.

From the Approve Dockets page:

  • Tap to open a docket
  • Press View to open the checklist details
  • Press the edit icon beside the checklist error, view photos and subcontractor comments
  • Set as Pass, Fail or Needs work.
  • Set Machine status from the foreman status not set field
  • Add Foreman notes
  • Press Save

From Today's Checklists:

  • Tap to open a failed checklist
  • View photos and subcontractor comments
  • set errors as Pass, Fail or Needs work
  • Select the machine status from the Foreman status not set field
  • Add Foreman's notes
  • Press Save

VIEWING CHECKLIST DETAILS IN THE VIRTUAL SUPERINTENDENT

From the Issues Report of the Virtual Super, filter in the Issue type field by Plant checklists and/or Signed on fit to view the details of failed checklists. 

To view failed checklists from a specific machine or person, use the Filter users field.

SETTING MACHINE SERVICE STATUS:

The supervisor is able to set the service status for a machine to mark it as in service or not in service. This is particularly useful to understand if dry hire machines are meeting the contractural obligations.
