Spoil Admin Edits Spoil Report

Spoil reports show a summary of the component parts for all spoil movements within a specified time period. Where data is missing or incorrect, a Virtual Superintendent user with the Spoil Admin permission can make edits to some parts of the report or merge rows into one spoil movement.

A spoil movement is defined as the combination of load and disposal information for one load-to-disposal cycle for on-road trucks. Spoil reports provide head contractors with a summary of the component parts of all spoil movements and link to the weighbridge docket generated for each movement.


In some cases, one spoil movement will have a single load entry and a single disposal entry. However, in many cases, one spoil movement can have data inputs from multiple sources, including weighbridges, Virtual Weighbridge (VWB) dockets, API's, and gate keepers. Occasionally, the details in a spoil report are incorrect or have missing component parts. A head contractor with the Spoil Admin permission is able to make a variety of edits.


This article will focus on the actions that a Spoil Admin can make when working with spoil reports.

Spoil Admin Permission

The Spoil Admin permission gives the Virtual Superintendent user permission to make the following changes to a spoil report:

  • Edit the Cost Code
  • Edit the Supplier
  • Edit the Material type
  • Edit the Load Site
  • Edit the Disposal Site
  • Manually add Load or Disposal entries
  • Manually merge rows in the report into one spoil movement
  • Unmerge entries to remove them from a movement
  • Bulk edit a spoil report via Excel download and import
  • Download a PDF zip file containing all movements displayed in a spoil report on the screen

Manually Edit a Spoil Report:

Where the Cost Code, Material type, Load or Disposal sites are incorrect, a Spoil Admin can manually correct these. The following short support movie demonstrates a Spoil Admin editing the Material type, Load site and Disposal site in a spoil report.

This capability is particularly useful in the situation where a loader operator has assigned multiple dockets to a truck over the course of a day but has entered the wrong material type. A Spoil Admin is able to select the relevant spoil movements in the report and bulk edit the material type.

NOTE: Only spoil movements with the docket State of Draft and Submitted can be merged.


Manual and Automatic Merging of Load and Disposal Entries

There could be multiple load or disposal entries in one spoil movement. Increasingly, the Virtual Super is able to identify where loads and disposals are related and automatically merge the information into one spoil movement (one row in the spoil report).

In order for the Virtual Super to correctly merge loads and disposals, there are certain rules applied. These rules can be configured to suit the specific needs of a project, however these changes can only be made by the Cloudscape team.


Typically, the following rules are applied:

  • Loads assigned to the same truck without a disposal within a 20 minute timeframe are automatically merged. This allows for the situation where a truck is overloaded and needs to tip off before being reloaded and weighed again.
  • The most recent load entry will win and will be displayed in the spoil report.

Note: There are also SafeSite rules which have been put in place to ensure that data is accurate. For example, if loads are allocated by a loader operator or a gate person to the same truck within a 5 minute timeframe, they will receive a warning message which they need to acknowledge before they can finish assigning the load to the truck.


In the situation where there are multiple spoil movements that need to be merged but the Virtual Super has been unable to do so, the Spoil Admin has two options to resolve this:

  1. Manually add a load or disposal entry
  2. Manually merge rows into one spoil movement

Manually Add a Load or Disposal Entry:

In the example below, where the disposal information is missing, the Spoil Admin will complete the following steps to add a disposal entry.

  • Press Add Disposal

    NOTE: If the Add Load and Add Disposal buttons are not displayed, the user does not have the Spoil Admin permission. They will need to speak to the person in charge of the Virtual Super for the project.

  • Enter the disposal details in the Create Disposal dialog

  • Press Save

The disposal entry will now display in the spoil movement details.

Manually Merge Rows into one Spoil Movement

The Spoil Admin is able to manually Merge rows in the spoil report together to create a full spoil movement.

When the Spoil Admin clicks to view the component parts of a spoil movement, they will also see other movements made by the truck on the same day. To the right of these movements, they can press the Merge button to merge the movements into one spoil movement.

NOTE: In order to merge lines, the associated dockets must be in a Draft, Submitted, Rejected or Declined state.


In the below example, the Spoil Admin has movement 152547 highlighted. Once merged, the highlighted row is retained and the other row is merged into it. The generated weighbridge docket will now contain all of the entries from the 2 spoil movements.

The Spoil Admin can Unmerge to remove an entry from a docket. Once unmerged, the spoil movements will display as separate rows in the spoil report.


Bulk Edit Spoil Report via Excel Export File

An Excel template can be downloaded directly from a spoil report. The export template will contain the data that is displayed in the spoil report.


A user with the Spoil Admin permission is able to use the Excel file to bulk edit the spoil report. Alternatively, the excel export file can be analysed for financial purposes.


Download an Excel Export File:

When editing via the Excel template, it only possible to select dockets in a Draft, Submitted, Rejected or Declined State. Once a docket has been Accepted by the foreman, it is no longer possible to edit the data.

  • Filter to display the relevant data in the spoil report, e.g. filter by Supplier and/or docket State, etc.


  • Press the blue download icon (top left of the screen).

  • The excel export file will be found in the downloads area.

Spoil Admin edits the Excel File:

To make bulk changes to the spoil report, the spoil admin will open the export file and edit the relevant fields.

They will then save the file to their computer before uploading the file back into the spoil report. When uploaded, any edits made to the Excel file will display in the spoil report.

NOTE: Fields that are able to be edited: Cost Code, Supplier, Material, Load Site, Disposal Site.


  • Upload edited Excel file by pressing the orange import icon (top left of the screen) in the spoil report


  • In the Import New Report dialog, press Choose File
  • Select the saved Excel file from your computer
  • Press Upload
  • Press Finish


Download PDF File of Spoil Movements

Any Virtual Superintendent user who has access to the Report page is able to download a PDF file containing all of the spoil movements displayed on the screen. The PDF files can be used to provide evidence that the earthworks project is complying with all of the necessary rules and regulations.

NOTE: One movement equals one PDF file, therefore the Virtual Super will download a zip file containing all of the PDF files.


The number of columns in the report dictates what is documented in the PDF file.


Create a PDF Export File:

  • Filter to show the relevant columns
  • Press the PDF icon
  • The PDF zip file will be found in the downloads area of the computer
