Site Event Reports

A site event report displays all site events and the plant, labour or material dockets created for a project within a selected time frame. Displaying site events and dockets in parallel is particularly useful where a foreman needs to recount and/or gather evidence of work progress or incidents that have occurred on site.

A head contractor Virtual Superintendent user can filter a site event report to show the site diary events created by a specific supervisor. When filtered this way, the report will show all of the site diary events created by the supervisor and any dockets assigned to them within the report time frame.

The user can then click on any of the site events or dockets in the report to view the details at a glance, including comments, weather conditions and any photos.

Create a new Site Event Report

  • Go to the all reports page
  • Press the create new rReport button
  • Select site events

  • Give the report a name
  • Set the parameters in the filter panel

Save a report

Site event reports can be saved allowing them to be accessed again from the Virtual Super Reports page.

  • Press the down arrow beside the up to date button (top of the side filter)
  • Select save as
  • In the save as new report dialog, press save.

To make the site event report public, toggle the Public Report field on. If a report is made public, all head contractor users for the project are able to view it from the All Reports folder. If a report is saved as private, only the creator can view it from their My Saved Reports folder.

All site events entered into a site diary which fit the parameters for the report, will automatically display in the saved site event report. Additionally, any plant, labour or material dockets created within the time frame of the report will display.

Share Reports

Saved site event reports can be shared to other Virtual Superintendent users on a project, as explained here.

Export Site Event Data

Two export files can be generated from the site event report - an excel file and a daily supervisor summary PDF.

  1. An Excel export file can be generated which will contain all of the data displayed on the screen.
  • Use the side panel to filter the report
  • Press the Excel download icon

An excel file will be located in the computer's downloads area containing the data displayed in the site event report.

  1. A daily summary PDF file can be generated per supervisor, displaying their site diary entires along with a summary of the dockets assigned to them for that day.

  • Filter the report to show the relevant data
  • Press the PDF download icon
  • The processing tasks panel will show the download progress.

    Once processing is finished, press the download button in the processing tasks panel.

A zip file will located in your computer's downloads area. This will contain PDF summaries for each supervisor, for each day. The PDFs will provide a summary of any site events created by the supervisor and any dockets assigned to the supervisor on the selected date.

View Site Event Details

A head contractor Virtual Superintendent user can view the details of a site event or a docket from within the site event report, by clicking on a row to expand.

When viewing Site Event details, the user will see:

  • Details tab: The details of the site event
  • Map tab: The exact location on a site map
  • Photos tab: Any attached photos
  • Weather tab: Weather conditions at the time of the event

NOTE: The attached photos can be clicked on to enlarge them and then downloaded.

View docket Details

By clicking to view the details of a docket from a Site Event report, the user will see:

  • Details tab: a brief summary of the docket and any docket remarks
  • Map tab: the exact location

To View the docket and any attachments (photos), press the View Docket button (top right of the docket summary).

If the user has the right permissions, they will be able to view the docket in the relevant docket page (Supervisor Dockets, Super User Dockets, etc). They can also view the docket attachments.

If they do not have permission to view the docket, they will see the following message:

Site Diary to Site Event Report Workflow

Accessing the information from a supervisor's Site Diary, coupled with remarks made by subcontractors in their daily dockets provides extremely useful information about what has occurred on site.

Encourage supervisors to use their phone's inbuilt microphone to dictate the comments in their Site Diary. Encourage subcontractors to use their microphone to dictate the remarks in their dockets.

When the data is entered this way, a lot more detail is provided, and therefore provides all of the information required for future reference.
