Create and Manage Events in Your Site Diary

The Site Diary is used by supervisors to maintain a daily record of site activities through Site Events. Site Events capture important information such as work progress, site discussions, observations, weather impacts, safety incidents, and other project-related activities.

Supervisors can view and edit Site Events for both the current day and previous dates. They can also view all dockets assigned to them for the selected date, providing a complete record of site activities and workforce interactions.

All Site Diary information is automatically synchronized with Virtual Superintendent, where it is available on the Events and Reports pages.

Note: Reports can be used to provide valuable insights into events recorded on-site. See the Site Event Reports help article for more information.

Permissions

To access the Site Diary screen (Menu Site Diary or Menu > Supervisor Home > Site Diary), you must have the following SafeSite permission:

  • Site Diary

Note: to grant a user Site Diary permission, you must have either Admin Manager or User Admin permissions in Virtual Superintendent.

Enable Access to the Site Diary

To enable access to the SafeSite Site Diary screen:

  1. Sign in to Virtual Superintendent.
  2. Click Menu > Users. The Users page opens.
  3. Click SafeSite App Users in the top menu bar. The SafeSite App Users page opens.
  4. Locate the user account you want to configure. Use the Name filter in the top left corner to filter by username or the Email field to filter by email address.
  5. Select the required SafeSite user account. The User Permissions dialog opens.
  6. Enable the Site Diary option.
  7. Click Save. The user's permissions are updated and the User Permissions dialog closes.

Open the Site Diary Screen

To open the Site Diary screen in the SafeSite app:

  1. Open the SafeSite app and sign in.
  2. Tap Menu > Site Diary. The Site Diary screen opens.

Note: You can also open the Site Diary screen by tapping View Dockets on the SafeSIte opening screen, then tapping Site Diary on the Supervisor Home screen that opens.

The following options are shown:

Option Description
Docket Approvals Displays dockets assigned to the Supervisor today that require action. The number on the left indicates the number of dockets that need action, and the number on the right the total number of dockets submitted. Dockets are grouped and filtered by status. Tap any group to open the Supervisor Dockets page, where dockets can be reviewed, approved, or rejected.
Today Displays Site Events recorded today.
Add Event Tap to create a new Site Event.
Calendar Tap to view historical Site Events and historical dockets.

Add a New Site Event to Your Diary

To add a new site event to the Site Diary:

  1. Open the SafeSite app and sign in.
  2. Tap Menu > Site Diary. The Site Diary screen opens.

  3. Tap Add Event. The Add Site Event dialog opens.

  4. Enter the details of the event (these fields are described below).
  5. Tap the camera icon to take and attach a photo immediately, if needed.
  6. Tap the image icon to upload an image attachment from your device, if needed.
  7. Tap Save. The site event is saved to your diary.

Fields shown on this screen are:

Field Description
Event Name An event name, for example, "Water Pooling".
Start The time the event started.
End The time the event ended.
Severity The severity of the event. Low, Important, or Urgent.
Supplier The supplier this event affected or was caused by, if any.
Category The category of the event. Cost Impact, Delay, Deliveries, Environment, HR Issue, Incident, IR Issue, Progress, Quality, Safety, Subcontractor, Weather, Work Complete, or Work Planned.
Location The location of the event (a map geometry, typically configured from, and visible as layers on, the Virtual Superintendent Maps page). If not listed, use the Map option to manually specify a location instead.
Map Tap to open a map screen and then drag the red map marker icon to the event location and tap Save. Use when an event occurs at a location not already saved as as a geometry. When used, the Location field is automatically set to Location Set Manually.
Quantity Specify the quantity, if applicable.
UOM Specify the Unit of Measure of the quantity, for example, m3, tons, load, day, minutes.
Comments Freeform comments describing key details of the event.
Attachments Shows a thumbnail of any images attached to the event report. Tap the section toggle to expand and to view and draw on the attached images (for example, to point out defects or mechanical issues that need attention).
Camera Icon Opens your device camera to take a photo.
Image Icon Opens your device camera roll. Select image files then tap the tick icon to attach.
Save Saves the event details.

Note: Events given a Severity rating of Urgent are highlighted in the Site Diary screen with an Urgent icon.

Drawing on a photo or image

When a photo or image is attached to a site event, you can draw on the image using your device's touch screen to highlight specific areas of interest, concern or progress.

To draw on a photo or image attached to an event:

  1. Attach an image to the new site event.
  2. Open the Attachments section at the bottom of the Add Site Event dialog.

  3. Tap View beside an image. The image is opened in a pop-up dialog.

  4. Draw on the image with your finger to highlight areas of interest.

  5. Tap Save Edits to save your image edits, or Clear Edits to clear them.

Using your microphone to record event details

To save time, you can use your device's microphone to dictate comments in your Site Diary.

View Today's Site Events

To view today's site events in the Site Diary:

  1. Open the SafeSite app and sign in.
  2. Tap Menu > Site Diary. The Site Diary screen opens.

  3. Expand the Today section if collapsed. All site events recorded today are shown in the section title when closed, and individual events, together with their Start times and Event Names are shown when expanded. Events with a Severity rating of Urgent are highlighted with an Urgent label.
  4. Tap a site event. The key details of the site event are shown in a dialog, including the Event Name, Severity, Start and End times, Supplier, Category, Location, Comments, and thumbnails of any attachments. The location is also shown in a mini map.

  5. Tap View beside any image to enlarge.
  6. Tap Close to close the details dialog or Edit to change the details of the site event, if needed.

When you tap Edit you can:

  • Change the details of any field, including the start and end times, severity, and comments.
  • Add a new photo or image attachment.
  • Move an event location marker by tapping Map and dragging the marker to a different location or select a new event location using the Location dropdown. You cannot remove the location entirely.
  • Remove photo and image attachments by expanding the Attachments section and then tapping Delete beside each attachment you want to remove,

Once you have finished editing an event, tap Save to update the diary entry.

View Historic Site Events

To view past site events in the Site Diary:

  1. Open the SafeSite app and sign in.
  2. Tap Menu > Site Diary. The Site Diary screen opens.

  3. Tap the Calendar button. The Calendar dialog opens. Dates on the calendar with a star icon indicate that a site event was recorded on that date. The color of the star indicates the severity of the event: green for Low, yellow for Important, and red for Urgent.

  4. Tap a date on the calendar. The number of site events on the selected date are shown, and a link to view supervisor dockets, if available.

  5. Tap Click to view dockets to open the dockets in the Supervisor Dockets screen, if there are dockets available. To return to the current Site Diary list, tap Back to Today or tap the Calendar icon to reopen the calendar and select a different day.
