Create Events in your Site Diary
The Site Diary is a SafeSite capability allowing supervisor to record Site Events. A Site Event might provide details on work progress, site discussions, observations or any safety incidents that arise on-site. A supervisor can view their current (today's) Site Events or historic Site Events in order to recount what has occurred on any given day. They can also view the dockets assigned to them on any day to further understand what happened on-site.
The data from the Site Diary feeds directly to the Events and the Reports page in the Virtual Super where it can be filtered and reviewed by the appropriate head contractor staff.
Set Site Diary Permission for a SafeSite user
To give a supervisor access to the Site Diary, you need to edit their SafeSite permissions. Head contractor Virtual Superintendent users with either the Admin Manager or User Admin permission can edit permissions from the Users page in the Virtual Super.
- From the Users page
- Select the SafeSite App Users tab
- Filter to find the supervisor and tap to open their SafeSite User Permissions dialog
- Toggle the Site Diary field On
- Press Save
Site Diary Page
The Site Diary is accessed via the SafeSite menu. It is possible for a supervisor to quickly access their Site Diary without signing-on to the app:
- On the SafeSite homepage, press the View Dockets button
- From the SafeSite Menu, select the Site Diary page
When a supervisor opens their Site Diary, the page contains the following:
Docket Approvals: The dockets assigned to the supervisor today which require action, filtered by state. Tap to navigate to the Supervisor Dockets page to review or view dockets.
Today: Any Site Events created today will display in this section.
Add Event: Tap to enter a new Site Event.
Calendar Icon: Tap to view historic Site Events (created by the supervisor only) and/or historic dockets.
Add a new Site Event in your Site Diary
Follow these instructions to add a new Site Event in the Site Diary.
- Tap the Add Event button at the bottom of the Site Diary page
- Complete the details of the Site Event (as described in the graphic below)

Draw on photos
When attaching photos to a site event, a supervisor can draw on the photo to highlight specific areas of interest, concern or progress.
Once the photo is attached to the site event:
- Expand the photos area
- Press view for the relevant photo
- Draw on the image with your finger
- Press save edits to save the changes or clear edits to redraw on the photo
NOTE: SafeSite users can enable the microphone on their smart phone so that they can dictate comments in their Site Diary - see the demonstration video below.
Site Event fields explained:
Event Name: Give the event a Name, e.g. Water Pooling
Start: Set the Start time on the clock face, press Ok
End: Set the End time on the clock face, press Ok
Severity: Rate the severity of the event - Low, Important, Urgent.
Any events marked as Urgent will be highlighted in the Site Diary landing page with an Urgent icon.
Category: Select the category that they event falls under.
Location: Select the event location from the list, alternatively.
Map: Drag and drop the pin on the site map for specific location details.
Quantity: If applicable, enter a quantity (e.g. 3m3 for concrete deliveries).
UOM: Set the Unit of Measure. If the UOM required is not available, select Other.
Comments: Briefly enter the details of the Event.
Photos: Add photo(s) of the Event. The buttons to add a photo are found at the bottom of the page.
Camera icon: Take photos now.
Album icon: Select photos from the camera roll by tapping on the relevant photo(s) and then pressing the tick at the top right of the screen.
Photos can be drawn on to highlight specific areas of interest, concern or progress.
Save: When all of the details are entered, press save.
Viewing Today's Site Events in SafeSite
Any Site Events created by a supervisor Today will display on their Site Diary page.
- Expand the Diary section by pressing the down arrow
- Tap on an Event to view the details
Press the Edit button to make any changes
To edit the location pin: Press the Map button then manually drag and drop the pin to the correct location on the site map then press Save.
To delete a photo: Tap the down arrow beside the row of photos to expand the photo area. Press Delete beside the photo you want to delete then confirm this action.

View your Historic Site Events
A supervisor can view their historic Site Events. This is particularly useful where they need to recount what has happened on a previous working day. They can also access the dockets assigned to them on any given day. The remarks written by subcontractors in dockets can add useful information to a Site Event.
- Tap the calendar icon at the bottom of the Site Diary page
Select a date on the calendar.
Stars indicate a Site Event has been entered on a date. The colour indicates the severity rating for the event - green is low, yellow is important, red is urgent.
Tap to view the details of any Site Event on the selected date.
Press the Click to view dockets button to view their supervisor dockets on the selected date.

The data provided in a supervisor's Site Diary is fed to the Events page and the Reports page of the Virtual Super.
