Site Event Reports

Use site event reports to review site events and plant, labor, and material dockets created for a project within a specified period.

Site event reports display site events and dockets together, making it easier to review work progress, investigate incidents, and gather supporting information about activities on site.

You can filter a report by supervisor to display site diary events created by the supervisor and dockets assigned to the supervisor during the report period.

Select a site event or docket in the report to view additional information, including comments, weather conditions, photos, and docket details.

Create a Site Event Report

To create a site event report:

  1. Sign in to Virtual Superintendent.
  2. Click Menu > All Reports. The All Reports page opens.
  3. Click Create New Report.

  5. Enter a name for the report in the Report Name field.

  6. Configure whether the report is public or private:


    • Toggle Public Report on to make the report available to all head contractor users for the project from the All Reports folder.
    • Leave Public Report off to keep the report private. Private reports are only available to the report creator from the My Saved Reports folder.
  7. Configure the required filter settings (described below).
Field Description
Download Report Downloads report data as a PDF or XLSX file.
Download Photos Downloads images attached to site events.
Save Changes Saves the report with the current filter settings.
Save As Saves a copy of the report with the current filter settings.
Discard Changes Reverts the report configuration to its last saved state.
Report Type Displays the report type (Site Events). Read-only.
Report Name The name of the report.
Public Report Whether the saved report is public (on) or private (off).
Severity The severity of the event. LowImportant, or Urgent.
Supplier The supplier this event affected or was caused by, if any.
Event Name An event name, for example, "Water Pooling".
Supervisor The name of the supervisor who added the site diary event or was assigned to dockets at the time of the event.
Category The category of the event. Docket, Cost Impact, Delay, Deliveries, Environment, HR Issue, IncidentIR Issue, Progress, Quality, Safety, Subcontractor, Weather, Work Complete, or Work Planned.
Location The location of the event (a map geometry, typically configured from, and visible as a layer on, the Virtual Superintendent Maps page).
Remarks Use this field to search for comments added to event reports by supervisors. Enter the text then click Apply.

The report displays site events and plant, labor, and material dockets that match the configured report period and filters.

Note: To show only site diary events and hide dockets assigned to supervisors during the report period, click Hide Dockets in the upper-right corner of the report page.

Save a Site Event Report

Save a site event report to access it again from the All Reports page.

To save a report:

  1. Click the down arrow next to Save Changes at the top of the filter panel. A contextual menu opens.

  2. Click Save As. The Save As New Report dialog opens.

  3. Edit the report name shown in the Report Name field, if required.
  4. Click Save.

Site events that match the report settings automatically appear in the saved report. Plant, labor, and material dockets created within the report period also appear.

Share a Site Event Report

You can share saved site event reports with other Virtual Superintendent users on the project without making the report public.

Users you share the report with can open it from their All Reports page and save it but cannot make changes to it or reshare it with others unless they have Admin Manager permissions. You can share a report with multiple users.

To share a report:

  1. Sign in to Virtual Superintendent.
  2. Click Menu > All Reports. The All Reports page opens.
  3. Locate a site event report you want to share in the right panel or in the left folders.
  4. Click the three-dot menu to the right of the report name. A contextual menu opens.
  5. Click Share with user(s). The Share Report dialog opens.
  6. Check the box beside each user you want to share the report with. As you add users, they are added to the top section of the dialog. You can also filter users by name by typing into the top Filter users field.
  7. Click Share. The report is shared with the selected users. If the report is yours (that is, it was created by you) and private, it is also added under the Reports Shared By Me menu. Private reports that have been shared have a green Shared icon beside the report name while public reports that are shared have a blue Shared icon.

Export Site Event Data

You can export site event report information in several formats:

  • Excel export (.XLSX format)
  • Daily summary PDFs
  • Site event photos and images
  • Weekly summary PDFs

Download an Excel export

Download an Excel file containing the data displayed in the site event report.

To download an Excel export:

  1. Filter the site event report to show the required data.
  2. Click the XLSX Download icon. The Excel file downloads to your computer.

Download daily summary PDFs

Daily summary PDFs provide a summary for each supervisor, including their site diary events and dockets assigned to them for each day in the report.

To download daily summary PDFs:

  1. Filter the site event report to show the required data.
  2. Click the PDF Download icon.

  3. Monitor the download progress in the Processing Tasks panel.
  4. When processing is complete, click Download in the Processing Tasks panel. A ZIP file downloads to your computer. It contains daily PDF summaries for each supervisor and includes their site events and assigned dockets for each date displayed in the report.

Download site event photos

Download photos and images attached to site diary events from the site event report.

To download image files:

  1. Filter the site event report to show the required data.
  2. Click the Photos icon. A ZIP file downloads to your computer. The ZIP file contains one folder for each supervisor for each day, containing the images attached to their site diary events.

Download the weekly summary

Every Monday morning, Virtual Superintendent automatically generates a weekly summary containing site events and dockets for each supervisor from the previous Monday through Sunday.

To download the weekly summary:

  1. Open the Site Event Reports page.
  2. Click Download Latest Weekly Report. A ZIP file downloads to your computer containing the weekly summary for each supervisor.

Note: The same weekly summary remains available until a new report is generated the following Monday morning.

View Site Event Details

Select a site event row in the report to expand it and review its details.

The site event details dialog includes the following tabs:

Tab Description
Details Displays the details recorded for the site event.
Map Displays the location of the event on a site map.
Photos Displays photos attached to the event. Select an attached photo to enlarge and download it.
Weather Displays the weather conditions at the time of the event.

View Docket Details

Users with the required permissions can open dockets directly from a site event report.

To view a docket:

  1. Click the docket row to expand it.
  2. Click View Docket. The relevant dockets page opens.
  3. Review the docket details and attachments.

If you don't have permission to view the docket, Virtual Superintendent displays a message indicating that you don't have access.

Understand the Site Diary Workflow

Site event reports combine information recorded by supervisors in their Site Diary with information recorded by subcontractors in their daily dockets. Together, this information provides a record of activities and events that occurred on site.

Supervisors can use their mobile device's microphone to dictate detailed comments when creating Site Diary events. Subcontractors can use the same approach when entering remarks in their dockets.

Providing detailed comments and remarks creates a more complete record for future reporting and reference.
